To enforce hotels credit policy to provide maximum protection of hotel revenue. To approve all credit policy for Front office and in house guests. Maintain effective accounts receivable control through minimizing overdue accounts. To aim for current +30 days aging for debtors to exceed 90% and ensure timely billing of accounts and maintenance of receivable records. 1. Ensure Hotel credit Policy is followed and enforced. 2. Complete knowledge of the A/R clerical functions. 3. Process applications for credit facilities for companies, groups, functions, etc. 4. Monitor the special billing arrangements for groups and conventions as required to ensure that postings are in line with customer requirements. Liaise with conventions/groups/sales departments. Reconcile Master accounts for in house conferences daily where appropriate. 5. Review “Credit Check or High Balance” report for in house credit control each day for credit limits and follow-up of charge back arrangements. Document what steps were taken to verify the ability of guests on “high-balance’ report to pay their balances. 6. Monitor and pursue collection of overdue accounts. Monitor and pursue collection of overdue accounts on a structural fashion – preferably by phone for fast results. Failing any response after repeat call and letters, refer to collection agency if possible. 7. Call on overdue Travel Agency accounts. 8. Review bad debts listing monthly to prepare collectability analysis for monthly provision for doubtful debts. Accounts greater than 90 days must be written off against the reserve for doubtful accounts. (HFP 430.02) The hotel management must approve all write-offs less than $ 10,000 and any amount greater than US$ 10,000 must be approved by Regional office. Documentation must be kept for five years for audit and tax purposes. 9. Respond to and resolve accounts queries in conjunction with accounts receivable. 10. Process credit card credit to guest credit card with the guest folio attached to the credit receipt to retain an adequate audit trail (HFP 430.13) 11. Ensure other Sister hotels in divisions as well as tenants are invoiced, as required by the Accountant. 12. Action daily charge requests from reservations and front desk. 13. Respond to and resolve accounts queries, if consistent pattern emerges in relation to rates for example – ascertain cause and take corrective action, e.g. improve communication with sales and reservations. 14. For old corporate or convention/banquet debtors liaison with sales representative or conventions manager for pursuit of outstanding accounts and follow up on action taken. 15. Liaison with all other Sister hotels in region on major accounts and any potential doubtful corporate accounts.
