GENERAL MISSION • Performance of all functions of the Store Keeper, in particular be responsible for the security and correct administering of all store requests and receiving of all goods. • Suggest improvements necessary for the efficient and effective performance of storekeeping function. RESPONSIBILITIES AND MEANS • Custodian of all assets in the store. • Ensures proper storage conditions for the goods. • Investigates and follow-up on physical inventory discrepancies. • Re-order stock when stock levels fall below minimum levels. • Ensures that requisition vouchers are properly authorized before issuing the goods. • Ensures that the goods are issued on a first-in-first-out basis. • Arranges, stacks, tags goods in store in a neat and orderly manner. • Reports on slow, non-moving and obsolete items in the store. • Ensures no unauthorized access to the store areas. • Ensures that all store requisitions are properly authorized before issuing the goods. • Prepares and arrange systematically goods to be issued to respective departments according to store requisitions. • Post in all daily transactions according to requisitions and Invoice/Delivery Orders. Print out reports and check for correctness of posting. • Ensure that store is tidy and clean and goods are systematically arranged. • To perform other tasks or assignments given by the Director of Finance. ADMINISTRATIVE RESPONSIBILITIES • Recommends write-off of obsolete, deteriorated, spoilt or broken items. • Records daily details of all receipts from receipt documents onto stock records and ensure that the stock records are up-to-date. • Ensures that the requisitions are checked and acknowledge by the requesting department. • Check incoming goods against Invoice / Delivery Order for correct quantity and quality. • Records daily details of all issues from requisition vouchers onto stock records. TECHNICAL RESPONSIBILITIES • Monitors and recommends revision of par stock, re-order level and quantity. • Conducts periodic physical inventory of goods, summarize and reports results and investigate differences between physical quantities and stock records. • Assist in the monthly physical stocktaking. • Assist in the monthly physical inventory. • To be aware of the policies and procedures of the Hotel. COMMERCIAL RESPONSIBILITIES • Ensures no unauthorized access to the store areas. • Ensure that purchasing procedures are maintained in accordance with legal and Hotel standards. HUMAN RESPONSIBILITIES • Cooperate with all departments regarding the issuing of store. • To adhere to the grooming standards as set out in the employee manual and updated from time to time. • To comply with the employee handbook at all times. • Report any suspicious behaviour to their immediate superior REPORTING LINE To report to Chief Accountant and Director of Finance
