OBJECTIVE: • To welcome and check-in guests and to provide personalized service to every guest, both local and international. • To handle guestroom Key Cards, mails, messages and attend to guest enquires. • To check out guests and ensure that all payments are collected. MAIN DUTIES: Administration • To welcome and check-in all guests according to established procedures. • To assign rooms and prepare Key Card and folders for all arriving guests and groups. • To handle all Key Card, mail, facsimiles, messages and other special request for guests. • To assist Guest Relations Officer and Assistant Manager to escort VIP guests to the room after checked in. • To provide information and assistance to all guests. • To assist Reservations Department in taking reservation after office hours. • To attend to guests complaints promptly and then report to Guest Relations Officer or Assistant Manager for follow up. • To provide courteous and efficient service and if possible to comply with each and every guest’s request. • To remain the Reception Counter and to answer all incoming calls. • To keep the Front Office and Reception Counter clean at all times. • To conduct tour of hotel for potential guests and business in the absent of Front Desk Supervisor, Assistant Front Office Manager. • To perform any other activities or task as directed by your superior. • To perform shifts duties according to the duty roster. • Financial and Revenue Responsibilities • To check out guests according to established procedures, and ensure all payment or vouchers are collected. • To provide currency exchange service for guests. • To issue and handle the entire hotel’s safe deposit boxes. • To ensure that all guests charges are posted into the right guest accounts. • To balance all, the daily posting transactions and ensure monies collected are banked into the General Cashier’s safe at the end of each shift. Training and Human Resources • Must be good in spoken and written English and another third language. • Must be fully conversant with the Front Office computer system. • Must have good knowledge of all room types, layout, amenities and room rates. • Must be familiar with the facilities in the hotel. • Must be familiar with the local areas/places of interest, shopping, etc. • Must have good knowledge of hotel’s accounting and credit policies and procedures. • Must have good knowledge of all emergency policies and procedures. • Ensure wherever possible that employees are provided with a work place free of discrimination, harassment and victimisation. • Treat complaints of harassment and discrimination promptly and confidentially. • Treat customers and colleagues from all cultural groups with respect and sensitivity. • Identify and deal with issues which may cause cross cultural conflict or misunderstanding. Guest Service Responsibilities • Ensure to provide the highest level of service. Miscellaneous • Have a pleasant and smiling personality. • Able to work shifts. • All ambassadors are required to comply with every reasonable request from their hierarchical supervisor(s) within an amount of time that it takes to comply under normal circumstances. • All ambassadors may be assigned to other duties in the hotel as and when required by business levels. GENERAL DUTIES: Health and Safety • Ensure that all potential and real Hazards are reported immediately and rectified • Be fully conversant with all departmental Fire, Emergency and Bomb procedures • Ensure that all emergency procedures are rehearsed, implemented and enforced to provide for the security and safety of guests and employees • Ensure the safety of the persons and the property of all within the premises by fairly applying Hotel Regulations by strict adherence to existing laws, statutes etc. • Ensure all staff within the department work in a manner which is safe and unlikely to give risk of harm or injury to selves or others • Use safe manual handling techniques and practise safe work habits following Accor Health, Safety and Environment policies, maintain procedures to minimise our impact on the environment and prevent pollution. Confidentiality • Ensure confidentiality and secure storage of all intellectual property and data bases, both hard copy and electronic. Adhere to Accor Internet and Email policy • Ensure Hotel, Customer and Staff information or transactions are kept confidential during or after employment with the company. To be fully conversant with: • Hotel fire procedures • Hotel security procedures • Hotel Health and Safety policy and procedures • Hotel Facilities and attractions • Hotel standards of operation and departmental procedures • Methods of accepted payment of the company • Short and long term company marketing promotions
