The Executive
Assistant/Interpreter to the Music Director provides executive administration for the
Sun Symphony’s Music Director. The position oversees day-to-day operations of the Music Director’s office and manages communications with the various Symphony departments, artists, other symphony orchestras and a variety of
contacts that pertain to the Music Director’s internal and external relationships.
MAJOR JOB FUNCTIONS
The foremost function
of the assistant / interpret will be to interpret everything from
email messages, to official documents to verbal conversations. The
assistant will need to have a full command of the English and Vietnamese
languages, and prior interpreter experience is preferred.
• Provides all executive administration for Music Director (MD). Oversees daily operations of the office of the Music Director at the Symphony.
• Maintains and coordinates MD’s SSO and yearly calendar and schedule: rehearsals, concerts, community appearances, fundraising events, receptions, meetings with staff members, board constituents, musicians, guest artists, etc.
• Prepares MD for appointments, meetings and rehearsals. Manages schedule distribution among staff and departments to ensure that the most current
information is available to all necessary contacts. Maintains open and direct communication with all branches of the SSO on behalf of the MD.
• Assists MD with project notes and edits. Acts as liaison to symphony librarians and acts as supervisor of the status of MD’s orchestral parts and score collection.
• Performs musical research and gives production assistance on special projects,as needed.
• Coordinator for communications and transactions with MD’s music publisher.
• Serve as primary liaison with all SSO departments/staff to assist with matters such as requests for personal appearances/interviews, scheduling of auditions,
meetings for various operational issues (staging, tour requirements, etc.), and related issues. Prioritizes requests to ensure most efficient use of Music
Director’s time.
• Keeps MD informed and updated without regard to location, either onsite at the SSO or at other locations.
• Ensure that administrative and personal support needs are met, including correspondence, record-keeping, ticketing requests, travel arrangements, etc.
• Manage MD’s guests and visitors.
• Acts as liaison with staff of other major music institutions and the Music Director’s management, including other organizations with which the MD has artistic and business relationships.
• Assists in the visa application process for visiting conductors and guest artists.

Yêu cầu công việc
• Bachelor’s degree in music and at least five years experience in arts administration preferred.
• At least three years of experience working with a top-level artist or
executive, AND experience as a personal interpreter preferred.
• Appreciation for, understanding of, and sensitivity to the needs of
professional musicians.
• Extensive knowledge of classical music or background in the arts required.
• Ability to read music and work with music scores and musical notation highly desired.
• Excellent interpersonal, communication and conflict resolution skills to work effectively and diplomatically with diverse personalities and high-level professionals.
• Proven skills in being able to work under pressure and as a team player.
• Ability to improvise and respond to unusual circumstances and requests with a high degree of service and flexibility.
• Must be adept at working with various internal and external contacts to
manage and resolve various scheduling conflicts to best accommodate all parties or organizations involved.
• High integrity level and ability to work responsibly with confidential and
highly personal information. The ability to interact with all individuals with exceptional tact, diplomacy and utmost discretion is absolutely essential.
• Demonstrated ability to deliver accurate and timely work product – attention
to detail in all matters is critical. Ability to implement projects from
conception to completion with minimal supervision.
• Demonstrated office management skills, including Microsoft Office.
