Main Duties
Administration
• Routes all incoming and outgoing mail as well as correspondence related to the Materials Department.
• Answers and routes incoming telephone calls.
• Maintains, creates and routes all administrative paperwork related to or to be distributed by the Materials Department.
• Compiles statistical reports as required by Materials Manager.
• Mails, faxes, and forwards approved Purchase Orders to respective suppliers.
• Maintains item records and forms as required by the corporate management and policies.
Customer Service
• Handles all guest and internal customer complaints and inquiries in a courteous and efficient manner, following through to ensure problems are resolved satisfactorily.
• Maintains positive guest and colleague interactions with good working relationships.
Financial
• Ensures that all hotel, company and local rules, policies and regulations relating to financial record keeping, money handling and licensing are adhered to, including the timely and accurate reporting of financial information.
Operational
• Thorough understanding of the SCALA system (Materials Management System).
• Responsible for the accurate, timely issuing of items to respective departments.
• Ensures proper documentation of all issued items.
• Ensures all items issued to departments are in good conditions.
• Ensures the ‘First In First Out” procedure is being observed when issuing out items to user departments.
• Ensures the security and maintenance of a clean and organised receiving area, including the Materials Office, receiving dock, and store areas.
• Ensures monthly inventory counts are being carried out as per the Hotel policies and procedures.
• Ensures all items are stored in the right temperature and designated sections/ racks.
• Ensures NO expired items are being issued to the user department.
• Reports to the Material Manager for necessary action on excessive stocks of any slow moving items prior to the expiry date.
• Strictly adheres to all policies with regard to the issuing of items/ goods in the Hotel.
• Ensures all items in the store are accurately recorded in the store inventory.
• Ensures all proper documents with approval are received prior to issuing out any items from th Thorough understanding of the SCALA system (Materials Management System).
• Supports the day-to-day administrative operation of food purchasing within the Materials Department.
• Maintains food requisitions, purchase requests, purchase order files and records.
• Advises Assistant Materials Manager of unusual or excessively high consumption of inventory and non-inventory items.
• Enforces all operating and control procedures to ensure that movement of goods into and within the hotel is properly accounted for as instructed by the Assistant Materials Manager/Materials Manager.
• Adheres to internal control Policy and Procedure throughout the department, regarding receiving, inventory control and issuing processes.
• Assists and coordinates all product requisitions and specifications of food items from kitchen.
• Maintains inventory Items, par stock items, to be included as inventory items, re-order points, item listing, Unit of Measure through the use of Scala.
• Ensures that every kitchen outlet in the hotel receives goods and services as required and to the standards they have specified.
• Creates Purchase Orders for all food and beverage requisitions through the use of Scala.
• Ensures full compliance with the Departmental Operational Manual for the various areas of the Materials Management.
• Sources and obtains price quotation for all food purchase requests.
• Ensures that inventory items are stored properly and issued in FIFO rotation to minimise wastage and spoilage.

• Works closely with the Purchasing Clerk to ensure all items received from the suppliers or contractors meet the Hotel’s requirements and specifications.
• Ensures the cleanliness of the stores at all times.
People Management
• Supports the implementing, demonstrating and reinforcing Hyatt’s Values and Culture Characteristics.
Other Duties
• Understands and strictly adheres to Rules and Regulations established in the Employee Handbook and the hotel's policies concerning fire, hygiene, health and safety.
• Ensures high standards of personal presentation and grooming.
• Responds to changes in the Materials function as dictated by the industry, company and hotel.
• Attends training sessions and meetings as and when required.
• Carries out any other reasonable duties and responsibilities as assigned.
• Exercises responsible behaviour at all times and positively representing the hotel and Hyatt International

Yêu cầu công việc
• Education: Bachelor’s degree in Finance, Commerce or hospitality/ tourism management
• Professional Experience in Hospitality: Progressive experience in Income Audit operations in a 5 star luxury property, 2 years of which would have been spent as an Income Auditor. Certified Public Accountant (CPA) board passer is an advantage. Highly developed analytical and problem solving skills with high regard for detail and accuracy, administrative and interpersonal skills are a must.
• Leadership Experience: Demonstrated skills in leading a diverse team with varying degrees of experience and talents Able to teach and inspire team members to be their best everyday.
