PURCHASING MANAGER

This position is responsible for the coordination and management of the overall operations of the Purchasing Department to ensure that the hotel has adequate supplies to perform their duties in an efficient manner. Purchasing Manager is also to assist the Accounting Departments on the monitoring, reporting and controlling of cost, inventory including audit and control, financial analysis and reporting, budgeting and forecasting.

Purchasing Manager have both function, works for A Dong Villas under Owner direction and Silk Sense Resort. All issues related to Silk Sense, immediately report to Chief ACC and GM on regular meeting on siging PO & PR.

II. Duties and Responsibilities:

1. Operation

- Implement sound purchasing policies, systems and procedures in accordance with Company standards

- Monitor vendors for quality, service and price through standard purchasing specifications

- Obtain competitive quotations for hotel requirements and ensure that the best product is sourced and purchased

- Receive market list from the Executive Chef on a daily basis and arrange for delivery of those items daily

- A minimum of three independent genuine quotations must be obtained

- Ensure that all order receiving dates are updated by the buyers according to the suppliers promised delivery dates

- Ensure & verifies that quotations are regularly updated and supplier’s new current price lists are maintained

- Approve all addition requests for new storeroom items, checking correct item description, unit, packing, category and establishes Min/Max estimated stock levels

- Verify the 'pending orders' report on a daily basis, and all pending orders are checked and verified regularly

- Be responsible for physical control of all store items until issued, fully documented under strict control procedures (key control, timing schedule, authorized issue requests)

- Be responsible for maintaining logical storeroom inventory levels operationally needed

- Keep all records in a way that they can be checked at any time for information or audit purposes

- Maintain all documents, files and listings up-to-date and performs duties in the most efficient manner

- Work with GM or Chief ACC in the preparation and management of the Department’s budget

- Establish contracts to ensure reduced pricing for all operating areas of the hotel

- Analyze and identify financial opportunities including cost controls, productivity levels, and revenue generation

- Develop and implement purchasing and contract management instructions, policies, and procedures

- Forecast price and market trends to identify changes of balance in buyer-supplier power

- Attend all meeting assigned by the Management

- Related Report according to the company and General Manager requirement

- Take a part on MOD duties monthly schedule

- Other tasks assign by the Management

Knowledge and Experience

- Diploma education

- Minimum 3 years of purchasing experience with at least 1 year at a supervisory level

- Excellent reading, writing and oral proficiency in English language

- Proficient in MS Excel, Word, & PowerPoint
