Job Description/Summary:

HARDWARE: Ensures seamless operating, integrity and maintenance of computerized systems within the hotel operation (computer operating system: Fidelio, Reba, Novell, DOS, Windows, and others as defined at time), standalone systems, telephone system, POS cashiering system, all relevant interfaces, file server and UPS and related devises).

SOFTWARE: Ensures that only original and properly licensed application programs according to the IT management’s policy and requirement are running on the hotel’s systems and computers.

USER: Ensures that no user has access to programs other than needed to perform the job. He/she is personally in charge all employees in the Hotel are properly trained to make best use of the systems.

SECURITY / DATASAFE: Is responsible for the data safe/backup of all relevant user generated data, be it part of the general system or personal systems. He/she assures that at all times relevant backup policies are duly respected and the system reaches the highest level of security.

MANAGEMENT: Is responsible for the proper planning and budgeting of IT expenditures for the Hotel, as well as for compliance with the TUI IT Policies and Guidelines

MAIN AREA OF RESPONSIBILITIES:

Scope of works:

 Smooth running of all computer systems.

 Training of basic functions of user software.

 Regular information to IT management about the new computer trends for the future.

 Regular data safe /backup.

 Budgeting and Planning for IT Expenditures

 Compliance with IT Policies and Guidelines

 The following duties within frame of work:

Responsibilities:

Internal: Works in harmony with all staff and executives, smooth running of computer systems.

External: Suppliers, contractors with support agreements.

Materials: All electronically involved systems, hard and software, cabling and datelines.

More detailed duties and responsibilities are listed attached in form of a checklist and are not meant to be complete. Local legislation and requirements may ask for adaptation and amendments. To fulfill the duties the jobholder is given the relevant authority to reach the goals by the Regional Information Officer of the Regional Hotel operation.

Duties:

HARDWARE

a) Takes care of correct handling of hardware, peripheral equipment, proper working conditions (Temperature, Power earthling, etc.) and the training of staff to use and maintain the equipment they need for their daily work.

b) Maintains good relationship to local hardware dealers and maintenance contractors.

c) Responsible for Hardware Maintenance.

d) Knows about content and rules to be respected described within our hardware maintenance contracts and does not interfere in stipulated rules of conduct.

SOFTWARE

e) Ensures that all software handbooks and manuals are available to users and that newer versions always replace older versions as instructed or according the guidelines agreed with the Chief Information Officer.

f) Uses and installs software in accordance with the software licensing laws and installs only correctly licensed software. Software licenses are to be filed in a safe place in case of inspection.

g)  Copyright: Any kind of developed software or related programs or applications produced in the hotel and/or with hotel’s equipment or within regular duty remains at all times integral property of the hotel operation.

h) He/she is aware about the company standard and therefore adheres to it for implementation

SECURITY / DATASAFE

i) Acts as Data Security Officer for the systems and is therefore responsible for operational OS and program security. Ensures the integrity and back-up of data within the user files.

j) Supervises and/or performs the back-up procedures of the software and ensures that total backups are performed at regular intervals and are kept in a secure place to ensure that the operation will not suffer in case of a disk crash or other hazards.

k) Two times a year and as instructed by the Chief Information Officer he/she executes a practical Restore to check if operated backup procedures are working 100 per cent.

l) Monitors and adjusts file sizes and file activities and analyses problems before they influence the operation.

m) Scans all storage material regularly for viruses, installs virus detection software, and at all times is aware of virus infection by restricting access to floppy disk drives and hard disks by user directly.

SECURITY / DATASAFE

n) Acts in accordance with the Data Processing and Data Protection laws of the country and keeps related confidentiality at all times.

p) Responsible for the safe storage of all user authorizations (user id and passwords) for all applications within the Hotel as well as for the management of new user authorizations or changes to existing authorizations.

MAMANGEMENT

q) Responsible for IT Expenditure planning and budgeting for the Hotel.

p) Is responsible for Compliance with the IT Policies and Guidelines.

q) Writing of a monthly report to the GM and to Regional IT according to the form 01.14.0300 - Monthly Hotel IT Status Report.

r) Keeps all systems, networks, hardware and software properly documented at all time.

GENERAL / MISCELLANEOUS

s) Informs IT management regularly about new trends and experiences in other sister or competitor hotels re. IT matters.

t) Is always reachable within and outside the hotel by any kind of communication device for problems occurring during and outside of his/her duty time in the hotel operation.

u) Will train all staff to use the software to the advantage of their performance and to the hotel’s benefit in increasing efficiency. This training has to be co-ordinated monthly with the Personnel & Training Manager and the Regional IT Officer.

v) Is familiar with all related company documentation and especially with the relevant Operational Standards Manual for his/her field of responsibility.

w) Is ensuring within the property that the Data quality can be maintained by the operations people. (Properly running systems, proper training to the users for usage of systems, eventually process reviews with the responsible department heads, recurring review of data quality, etc.)

• Certificate of MCSA & CCNA (desirable)

• 3 year experience in hotel / resort international standard

• English skills: Good spoken and written English is required

• IT skills: Knowledgeable of Micros , Fidelio-Opera , SUN system, Electric Keycard system, NAS backup and Setup information security system

• Clear & effective communication

• Effective time management

• Social, pleasant personality, well organized
