Purchasing cum Admin Manager

1. Maintain records of goods ordered and received, distribute goods to Elite Fitness club

• For monthly regular operational goods: Receive club PR, consolidate in Master PR for Elite Fitness, work & explain to Accounting Department to make sure PR on cost norm & budget, submit Master PR to get COO’s approval

• Daily receiving PR from clubs, assign purchasing staffs to handle PR. Direct and coordinate activities of personnel engaged in buying and distributing materials, equipment, machinery, and supplies to clubs...

• Check & supervise all purchasing activities: Find & choose supplier, submit to get COO’s approval, Upload PR to system, send Order to supplier, receive goods, distribute goods to club, and make payment for suppliers, make sure to follow company policy & procedure

• Provide reports for upper management: Buying goods status, PR budget record…

2. Negotiate attractive pricing & better conditions for company

• Be in charge of negotiating price to get lower & attractive price, better conditions on payment method, warranty, delivery…

• Propose & handle principle contract for regular goods

• Resolve vendor or contractor grievances, and claims against suppliers

3. Search and source potential & suitable suppliers

• Locate suppliers of materials, equipment or supplies, and interview them in order to determine product availability and terms of sales

• Work with suppliers, laundry factory and internal departments

4. Club operation licenses: Gym, Class (GX & Yoga) Swimming pool, kick boxing

• Ensure all operated clubs having club licenses according to Vietnam Law (New & Renew for Gym, Aerobic, Yoga, Swimming pool, Boxing, Class Dance licenses, Food hygiene and safety Certificate)

• Support clubs to have meeting with government inspection team & make relationships with them

5. F&B tasks

• Be in charge of working with CM to find the suitable selling products at Elite Fitness

• Work & negotiate with supplier for consignment contract

• Purchase & distribute products to clubs and exchange products from clubs to suppliers (consignment products)

• Propose selling F&B price for new products, sale off promotion

• Payment request for suppliers
