Mô tả công việc

Administration

• Together with Material Manager and AM - Materials, to enforce internal control Policy and Procedure throughout the department, regarding purchasing, receiving, inventory control and issuing processes.

• Assist AM - Materials to establishes and maintains historical data and a library of catalogue referencing suppliers, price list etc.

• Maintain at all time the working hours of the Purchasing / Material Clerks to meet requirements of the hotel in general and Materials Department in individual.

Customer Service

• To assist AM - Material to handle all guest and internal customer complaints and inquiries in a courteous and efficient manner, following through to ensure problems are resolved satisfactorily.

• Maintains daily contact with suppliers on all purchasing matters in a positive manner and immediately report to the Material Manager and AM – Materials any problem with the supplier for timely solutions.

• Keeps closed eye on the purchasing process and alert the Material Manager / AM – Materials immediately of any potential risks as far as legal and commercial aspects are concerned.

Financial

• Assists to maximize employee productivity through the use of multi-skilling, multi-tasking and flexible scheduling to meet the financial goals of the business as well as the expectations of the guests.

• Assists with the preparation of the annual Finance Business Plan ensuring Divisional Objectives fully address business objectives of the hotel and needs of employees.

• Assist Material Manager and AM - Materials to ensure that all hotel, company and local rules, policies and regulations relating to financial record keeping, money handling and licensing are adhered to, including the timely and accurate reporting of financial information.

• Keep the Material Manager and AM – Materials updated of any market price changes and make sure the hotel is paying the cheapest price for all goods and services.

Operational

• To assist AM - Materials to ensure that inventory items are stored properly and issued in FIFO rotation to minimize wastage and spoilage.

• Maintain a purchasing schedule to ensure that goods are rotated in the most efficient way to avoid wastage and spoilage.

• Knowledgeable of all cost in the Materials Department and to recommend measures of control.

• Conduct market research on a regular basis to make sure that the hotel is not overpaying for the goods and services

• Advises the Materials Manager and AM – Materials of unusual or remarkable cost of purchasing and consumption of inventory and non-inventory items and recommends practices to reduce such cost including suggestions of alternative sources for products.

• Monitor daily ordering process and ensure all requisitions from the users are attended and goods are received in time for the operation

• Inform AM - Materials of any excessive purchases or consumption of inventory and to recommend practices to reduce such cost, including alternative sources for products in order for him/her to communicate with the user departments.

• Give feedback to user departments and AM - Materials on all product and purchase specifications deviation that happens with their order for timely adjustment

• Acquires three (3) price quotations from various sources to determine the lowest cost while maintaining the best quality for any item(s) requested by the different departments.

• Help AM - Materials to coordinates purchase specifications for food and beverage in conjunction with purchasing, receiving, and issuing.

• Expedite the purchasing process with suppliers to ensure that every department in the hotel receives goods and services as required and to the standards they have specified at the best possible price

• Selects reliable regular suppliers for all inventory items and obtains weekly or bi-weekly price list for daily produce and other food and beverage items.

• Prepare monthly pricing inventory for further approval by Director of Finance

• Places all orders for the inventory items based upon established and audited par stocks and inventory levels.

• Assists to conduct interviews with suppliers, representatives and obtains information, specifications and quotations on any item required.

People Management

• Oversees the punctuality and appearance of all Materials Clerks and report to the Materials Manager and Assistant Manager for proper actions to be taken, making sure that they wear the correct uniform and maintain a high standard of personal appearance and hygiene, according to the hotel and department’s grooming standards.

• Review and suggest effective training programmers for all Materials Clerks to the Materials Manager and Assistant Manager for further escalation to the Training Manager and Director of Finance.

• Oversee attendance records of Material Clerks and report to Materials Manager / Assistant Manager for appropriate action to be .

• Encourages employees under your responsibility to be creative and innovative, challenging and recognizing them for their contribution to the success of the operation.

• Supports the implementing, demonstrating and reinforcing Hyatt’s Values and Culture Characteristics.

• Ensures that employees under your responsibility have a complete understanding of and adhere to employee rules and regulations.

• Ensures that employees under your responsibility follow all hotel, company and local rules, policies and regulations relating to fire and hazard safety, and security.

• Attend Departmental weekly / monthly meetings and follow the action plan of the Department.

Other Duties

• Is knowledgeable in statutory legislation in employee and industrial relations.

• Understands and strictly adheres to Rules and Regulations established in the Employee Handbook and the Hotel’s policies concerning fire, hygiene and health and safety.

• Ensures high standards of personal presentation and grooming.

• Exercises responsible management and behavior at all times and positively representing the hotel management team and Hyatt International.

• Maintains strong, professional relationship with the relevant representatives from competitor hotels, business partners and other organisations.

• Responds to changes in the Materials function as dictated by the industry, company and hotel.

• Attends training sessions and meetings as and when required.

• Carries out any other reasonable duties and responsibilities as assigned

Yêu cầu công việc

  • Education: University/College degree in Finance, Commerce or hospitality/ tourism management
  • Progressive experience in Purchasing operations in a 5 star luxury property, 2 years of which would have been spent as an Purchasing Officer. 
  • Highly developed analytical and problem solving skills with high regard for detail and accuracy, administrative and interpersonal skills are a must.
