MAIN ROLES

• Provides efficient and comprehensive secretarial.

Human Resource Management

• Comply with the company's human resource regulations and fulfill the given roles as a member of an effective workforce.

• Take initiative through consistent self-development.

• Comply with working hours and breaks according to company regulations and schedules.

• Contribute to a positive working environment and take initiative in setting a fine example as a Lotte employee according to the company's standards in integrity and professionalism.

• Guide and supervise new employees effectively to help them adjust to their given tasks.

• Attend all training sessions as a trainee according to the company's training policies.

• Attend all preventative training sessions in preparation for various safety accidents, theft and missing items.

• Be responsible for direct work and service training for new employees.

Administrative job:

• Maintain general filing systems

• Answer incoming telephone calls and either transfer, redirect or take a message

• Prepare files, reports, correspondence and other relevant business documentation

• Handle general enquiries

• Arrange appointments and meetings

• Take dictation of correspondence as required

• Open and sort mail

• Maintain confidentiality at all times on all matters

• Demonstrate essential overall knowledge of the organization

• Understand the responsibilities of other units and departments and co-operate with them

• Access and use work processing computer packages and keep up to date with enhancements to latest upgrades

• Handle all related jobs in the Department

Facility Management, Cleanliness and Safety

• Maintain and comply with sanitation, cleanliness, fire prevention, health and safety standards.

• Inspect the front doors and nearby facilities for any damage or safety issues. Contact the related department for repairs and maintenance, if necessary.

• Maintain a thorough knowledge of equipment and devices used by customers and employees. Assist them as needed.

• Be respectful of company property. Place and use business materials and equipment in an appropriate manner.

• Ensure that all containers and vessels at the workplace are clean and in their appropriate places.

• Ensure that all emergency procedures are rehearsed, implemented and enforced to provide for the security and safety of guests and employees

• Ensure the safety of the persons and the property of all within the premises by fairly applying Hotel Regulations by strict adherence to existing laws, statutes etc.

Cost, Budget, Loss and Profit

• Regularly examine the equipment and devices used in the department and improve profit if possible.

• Allocate and use the departmental budget appropriately.

Other Tasks

• Perform all tasks in compliance to the manual and the Standard Operating Procedure (SOP).

• Keep informed on the status of the hotel to be well

• l-prepared for any customer inquiry.

• Comply with and manage the Personal Information Protection regulations for customers and employees.

• Constantly work on self-improvement.

• Identify and keep familiarized with banquets and other operational status.

• Keep the company-regulated dress code and posture.

• Promote a positive and cooperative work environment for teamwork.

• Share with other workers various work-related notices and instructions from a senior employee, and contribute to a smooth business operation.

• Maintain various goods and facilities for information services according to regulation.

• Perform all tasks in compliance to the manual and the Standard Operating Procedure (SOP).

• Constantly work on self-improvement.

• Comply with the Personal Information Protection regulations for customers.

SUPPORTIVE ROLES

• All Information & Service staff are required to comply with every reasonable request from their hierarchical supervisor(s) within an amount of time that it takes to comply under normal circumstances.

• To be ready and responsible when assigned to perform any other duties or job functions as required Manager.

QUALIFICATIONS

• Must have fluent English skills to serve guests and make reports

• Must be service-minded to meet client needs

• Must be able to identify and respond to situations in hotel facilities and guest rooms

• Must be a good communicator. Must be able to train and make reports.

• Must know and understand company regulations and applicable laws regarding hotel management.
