Responsibilities and means

1. To manage the Front Office department ensuring staff comply with Property’s policies and support departments for advice and assistance, the Manager is responsible for the unit’s Strategic Business Planning, Administration, Human Resources Management, Quality, Marketing, Financial Management and Service Delivery.

2. The performance of the Front Office Manager is assessed on their effectiveness as a member of the Property’s management team, the business results of their unit, the management skills developed and effectively applied by the individual and the training and development of their staff.

Technical responsibilities

3. Preparation of internal administration documents on a timely basis, correspondence, record keeping, direct purchasing and the establishment and maintenance of par levels as appropriate.

4. Lead the Department in establishing specific and measurable goals covering all aspects of the Departments operation and implementing action plans for their achievement. Define the strategic positioning of the unit both in the internal and external environment and analyze strengths, weaknesses, opportunities and threats.

5. Coordinate of all aspects of the departments operation to ensure that the services of the Department are delivered to internal and external customers with the aim of exceeding expectations and in accordance with PRSHAN’s standards and procedures.

6. Analyze and respond to residents’ feedback, residents’ satisfaction and associates satisfaction information; and give a positive commitment to continuous improvement of product and performance.

7. Develop and implement strategies to minimize absenteeism and to manage occupational health & safety issues.

8. Responsible for the day to day management of staff working in the Department.

9. Align management style, working practices and conduct with Company’s Visions, Values and Missions.

10. Completely understand, implement and ensure adherence to Labor Code, PPHG policies.

11. Be well versed and knowledgeable of PRSHAN Fire and Evacuation procedures as well as health and safety requirements in the Workplace. Ensure employees are aware of their duty of care as determined by legislation and that they maintain complete familiarity.

12. Enhance the PRSHAN culture by demonstrating the Service Standards at all times to residents and fellow associates.

13. Personally ensure compliance with all relevant Workplace Health & Safety and Occupational Health & Safety legislation, and related PRSHAN Policies.

Human responsibilities

14. Drawing upon the assistance of the Human Resources Department, and in the environment of multi-skilling and creative rostering, the Front Office Manager will be held accountable for the effective management, in accordance with PPHG policies and philosophies, of staff at each level.

15. Responsibility for effective recruitment, training and development, certification, performance evaluation, turnover reduction and optimization of productivity through efficient work practices and staff rostering.

16. Support and reward staff innovation.

17. To ensure that all necessary tools and equipment are provided to staff in order to function efficiently.

18. To conduct weekly and monthly meetings with the Front Office team and related departments for job follow up and information dissemination purposes.

19. To create a good working atmosphere and efficient cooperation in the Front Office department.

20. Maintain open communication with peers, superiors, and subordinates at all times.

Relations

21. Directly responsible to the GM and will liaise closely with other operation teams.

22. Maintains and develops fruitful relationships with existing and potential clients, suppliers and colleagues.

Replacement and temporary missions

23. To perform other related duties and special projects as required by the General Manager.

EDUCATION AND TRAINING:
Diploma or degree in Hospitality Management or Business Administration.
LANGUAGES:
Good communication/ writing skills both in English and Vietnamese
SPECIFIC KNOWLEDGE:
Computer knowledge and experience in MS office programs.
Ability to work independently and as part of a team.
Leadership skills, communication skills.
Organizational capability.
WORK EXPERIENCE IN OTHER COMPANIES (IN CASE OF EXTERNAL SELECTION):
5-years’ experience in the same position in hospitality industry.
