Mô tả công việc

HR Trainee is responsible for providing secretarial and administrative support to the Human Resources Department (HR); providing support to the Human Resources Team members in C&B Tasks.

Be responsible for assisting the C&B Team to ensure that the C&B functions guide, support and align with the hotel’s culture and hotel’s vision. Assist the C&B Team to develop and implement detailed Human Resources plans to support business objectives. Develop and maintain positive working relationships with others; support team to reach common goals; listen and respond appropriately to the concerns of other employees.

The HR Trainee will be required to conduct their duties in a courteous, safe and efficient manner, in accordance with the hotel’s policies and procedures, ensuring that a high level of service is maintained.

CORE WORK ACTIVITIES

Main responsibility

 HR Data Management: Update HR data for Trainees and Casual Labor: enter new employee information, update salary and allowance changes, and verify data accuracy.

 Payroll Support: Execute the payroll process for Trainees and Casual Labor: prepare monthly payroll data and ensure accurate attendance records from all departments.

 Document Handling:

- Make certified copies, notarize documents, and submit them to government authorities as instructed.

- Assist with document approval submissions and sending letters.

 Reporting: Support and prepare reports as assigned.

 Other Tasks: Perform other assigned duties and provide support as needed.

Policies and Procedures

 Protect the privacy and security of guests and coworkers.

 Protect company tools, equipment, machines, or other assets in accordance with company policies and procedures.

 Maintain confidentiality of proprietary materials and information.

 Ensure uniform, nametags, and personal appearance are clean, hygienic, professional and in compliance with company policies and procedures.

 Perform other reasonable job duties as requested by Supervisors.

HR Operations & Employee Data Management

 Ensure new hires information are updated in the HR data system and coordinate with HR team and existing associates to monitor their personnel update timely if changed

 Manage and process Trainee & Casual Labor records and information within the system.

 Perform routine data audits and ensures employee data are up-to-date and accurate.

Communications and Relations

 Assist in monitoring/tracking Trainee & Casual Labor relations C&B issues including resolution and follow-up of issues.

Assists Management

 Coordinate tasks and work with other departments to ensure that the department runs efficiently.

 Ensure work tasks are completed on time and that they meet appropriate quality standards.

Working with Others

 Support all co-workers and treat them with dignity and respect.

 Handle sensitive issues with employees and/or guests with tact, respect, diplomacy, and confidentiality.

 Actively listen to and consider the concerns of other employees, responding appropriately and effectively.

 Develop and maintain positive and productive working relationships with other employees and departments.

 Partner with and assist others to promote an environment of teamwork and achieve common goals.

Administration

 Maintain confidentiality and security of employee and property records, files, and information.

 Answer phone calls and record messages.

 Ensure accurate maintenance of all employee records and files
