Position summary statement:

Reservation Clerk assist reservation Manager and reservation supervisor respond for all reservation duty of the reservation department. this job will involve handling booking by email, fax, telephone from the clients or sales manager... and with Reservation Manager controlling the resources of the department to maximize room nights and revenue by exhibiting strong product knowledge and sound sales techniques and controlling LQA guideline on monthly basic to ensure the accurate, professional and smooth handling of guest accommodation enquiries and bookings from sales agent. To liaise with operational departments to ensure guests satisfaction

Primary Responsibilities:

Administration

• Assist Reservation group coordinator to maintain PPHG and hotel standards throughout all areas of the department.

• To follow LQA standard and strictly follow guideline to reach the brand’s target.

• Assist Reservation group coordinator in preparation documents for group and group report, it must be timely and accurate.

• Assist, relieve and support all Rooms operating departments of the hotel

• Maintain a close working relationship with all department heads and supervisors throughout the hotel.

• Assist Reservation Manager to give the training for new associate or Front office associate.

• Arrive punctually and well-groomed for all rostered shifts, providing sufficient notice and evidentiary documentation for any shifts that are unable to be worked. Be a good example for other associate at all time.

• Ensure efficient and effective communication of client needs across all departments

• Be a Pan Pacific representative at all times

• Other reasonable duties as directed by the Reservations Manager or hotel management team to ensure the effective and efficient operation of the hotel

Financial and Revenue Responsibilities

• Work closely with the Reservations Manager and reservation supervisor the sales team to ensure that hotel occupancy and yield is maximized

• Have a thorough understanding of all Pan Pacific and hotel reward and loyalty programs and frequent Flyer Programs

• Have a thorough knowledge of all hotel products, rates and packages

• Maintain an accurate reservation and guest history system

• Upsell hotel facilities and packages and promote this to all other members of the Rooms team

• Maintain a comprehensive knowledge of the hotel reservations system

• Develop and maintain relationships with Pan Pacific Reservations Services

• Maintain an accurate and efficient filing and archiving system for reservations correspondence

• Fully understand hotel market segmentation and respect these tracking procedures at all times

• Have a good understanding of other Pan Pacific hotels in Vietnam and be able to cross promote Pan Pacific hotels to guests

• Assist in the co-ordination of all group reservations and communicate group movement to other departments

• Have thorough understanding if hotel credit policies and procedures

• Ensure all correspondence and queries are actioned within 24 hours of receipt

• Confidentiality must be exercised at all times in all matters. Company information may not be revealed to any person outside of the organization

 At least 1 year experience in similar position in a 4 to 5 star hotel.
