Mô tả công việc

General Mission
- Reporting directly to the Reservation Manager, the Reservation Clerk is directly responsible for handling telephone enquiries, taking and inputting reservations in the computer system and statistical information relevant to reservations must be of high quality.
- Reservations Clerk must work closely with all Front Office and Sales & marketing personnel.
- Reservations Clerk must work at all times in maximizing the hotel’s occupancy and business.
- Reservations Clerk must at all times maintain a professional, friendly business manner in all guests liaison, in correspondence and on the telephone
Main Responsibilities
- To build and maintain a good working relationship with colleagues and customers at all levels.
- To be fully conversant with special promotions offered by the hotel and to pass this information on to the guest whenever the possibility arises.
- To promote the other departments within the hotel at every given opportunity in order to maximize hotel sales.
- To make sure that all reservations have the correct deposit taken and no booking cancellation in last minute.
- Responsible for ensuring that all reservation filing and correspondence is carried out daily. Filing must be strictly monitored and filed in a way which ensures that all information is quickly on hand and easily located by all staff within the Front Office.
- To take risk to take 75% number of allotment on High season and 95% number of allotments on Low season for selling
- All complaints must be solved, know where to find the answer and whether a supervisor is needed, and answer the communication in a timely manner
- Responsible for taking note of all incoming VIP guests, the importance of guests to System or relevant Department so that special requirements that may need to be taken action accordingly.
- To offer assistance to other departments whenever you are needed.
- To ensure that all uploading/opening/closing number of allotment are checked in a timely manner.
- To be aware of the hotel availability and that every opportunity to maximize room sales is taken
- Good attention to detail with the ability to spot errors and question information received.
- To be self-motivated with the ability to complete routine and non-routine tasks as needed
- The ability to empathize and communicate with a diverse range of individuals
- To ensure that you as GSA Reservations for the hotel have a comprehensive knowledge of the town and what is happening within the city at all times and to ensure that all guests enquires are met with prompt, informative solutions
- The ability to work under pressure and to be adaptable, must be flexible to work shift over a 07 day period and ensure the Reservation area is not left unattended at any time while on duty.
- Responsible for adhering to the Rules and Regulations of the hotel as set down in the Staff Handbook.
Administration Responsibilities:
- Willingness to learn how to use and maintain unfamiliar equipment or computer
- Computer system contains a comprehensive guest history option and ensure that the hotel has the best, most accurate information
- All reservations are keyed correctly into the system and is of highest quality, and errors are kept to an absolute minimum.
Commercial Responsibilities:
- Reservations Clerk has a major responsibility in conjunction with Reservation manager to ensure the hotel is operating at maximum occupancy levels
- Upselling the property where at all possible
- Being constantly aware and in touch with forecasted occupancies for the future
Human Resource Responsibilities:
- To understand, be supportive, helpful and encourage all colleagues
