Overall Scope and Responsibility
To handle incoming guest reservation calls and emails in accordance, to provide efficient and effective promptly system and maintain the standard of service accordingly to the Management Policy.
Work closely with Reservations Manager and Sales Manager.
Job Responsibilities
Reservations Supervisorshould understand the procedure of reservation service properly, to provide efficient accurate guest information and understand the procedure of handling phone call such as :
• Answer incoming call by standard greeting of Azerai
• Daily file of reservations carefully attaching amendment to reservations already exiting to original files.
• Reading information contained in emails, paying attention to information pertaining to guaranteed reservations and VIPs. Preparing answer inquiries replied when necessary.
• Be familiar with all other Azerai Hotels and handle inter hotel reservations.
• To update guest amenities before arrival date and inform to all departments as to guest requests.
• Forward telephone messages properly
• Update guest list and prepare update name directories on computer
• Prepare and update reservations
• Be aware with hotel facilities and outlets operation times.
• To always keep clean and tidy office area.
• To be aware of emergency procedures and always can take proper action.
General Operational Duties
• To always be punctual and arrive at work as scheduled.
• To maintain high standard of personal grooming and hygiene.
• To always work closely with other reservations manager, sales manager, Front Office staff and housekeeping staff relating to guest service matters
• To always maintain effective guest reservation service and communication in a courteous manner.
• To ensure good team work amongst staff in the department
• To maintain high degree of morale within department.
• To attend meeting, briefing and training as assigned by department head.
• Ensure all communication equipment is for the operation
• To ensure all policies and procedures are adhered to.
• To assume other duties as assigned by The Reservation manager and Front Office Manager.
• To speak clearly as per the Azerai standard when receiving phone calls.
• Always greet the guest by name.
• Working closely with all departments
• Other duties as directed by the Department Head.
