Account Receivable

The Account Receivable position is responsible for maintaining correct bookkeeping for all accounts receivable and ensuring the clients make payments on time and strictly follow the resort’s policy for account receivable.

Duties and Responsibilities:

Daily

• Checking the below information on the VAT invoice before sending to Travel Agents:

• Date of invoice

• Company name, address, VAT code

• Check-in and check-out date (matching w/ information mentioned on the confirmed booking by fax)

• Tour code (if any)

• After checking, post the correct invoices from FO system to BOH system.

• The wrong VAT invoices will be returned back to FO to revise within 24 hours.

• The booking from T/A’s without credit facility, A/R has to prepare pro-forma invoice base on the booking and ensure to receive the payment on time. He/she should keep informing Reservation/ Head of Account in case Travel Agents delay the payment. The following documents should be referred:

• All the correspondences related to the booking from Reservation

• Arrival list printed from the system

• Base on the Bank Receipt, Account Receivable has to input the payment to the system and print out for checking. Afterwards, she/he can post the payment to AR module for reducing the balance of Debtors.

• Perform other reasonable job duties as requested by Supervisors.

Weekly

• Every Friday, print out the Aging Report (Sum by Travel Agent) and prepare the forecasted collection for next week.

• Prepare the comparison of forecast and actual collection of the previous week and submit to Resort Chief Accountant with explanation.

• Update barter Agreement (maintain on the excel file).

• Send the correct VAT invoices to Travel Agents.

Monthly

• Ensure all transactions during the month to be posted to AR module before closing the month.

• Debtor collection forecasted for next month for Cash Flow Projection

• Ensure all invoices during the month to be sent to Travel Agents’ Report

• Updating the balance of barter and inform Sales and Reservation.

• Print out the balance of debtors (sum by Travel Agents) and match with the balance of general ledger.

Yearly

• Confirm the balance of debtor with Travel Agents in writing.

• Print out the balance of debtor (sum by Travel Agent) and match with the balance of general ledger.

• Updating the balance of barter and inform Sales and Reservation.

• Review the list of credit facilities and propose the new one to Resort Chief Accountant and Sales for coming year.

Note:

Deposit from Travel Agent without credit facility

• Posting the deposit to the system (not match with any invoices)

• Keep record in excel file for all deposit has been posted to the system. (Name of travel agent, amount . . . )

• Print out the aging report (sum by travel agent) from the system on a daily basis and match the amount of column “unallocated” with the amount on the excel file for individual Travel Agent. When receiving the invoice, we have to allocate with the deposit.

• Minimum of 2 years experience in a similar position in a 4* or 5* hotel

• Preference will be given to candidates currently pursuing an accounting designation (CGA, CMA, CA).

• An understanding of hospitality accounting, PMS hotel operating system and strong computer skills is desirable. Working knowledge of Excel is a must.

• Must possess good communications skills (both verbal and written) and the ability to work in a demanding, multi-task environment.

• Must have the ability to work harmoniously with co-workers, joint venture partners and others.
