Mô tả công việc

Overall:

Responsible for all Front Office and Reservations operations to ensure excellence in all aspects of guests services within the resort.

Financial:

• Establish the Departmental Annual Operating Budget in advance for approval by the Manager and Financial Controller

• Ensure that the Departmental Operating Budget is strictly adhere to and that all costs are strictly controlled.

Administration:

• Ensure that all departmental reports and correspondence are completed punctually and accurately.

• Review existing and initiate new departmental policies as required

• Submit monthly report to the Manager detailing department activities for the past month and planned activities in the ensuing month.

Employee Handling:

• Assist in the building of an efficient team of employees by taking an active interest in their welfare, safety, training and development.

• Ensure that all employees have a complete understanding of and adhere to the resort’s Staff Handbook.

• Interview and subsequent selection of potential employees in liaison with the Personnel Department.

• Conduct employee evaluations and to review their general performance, discuss existing performance and areas of improvement.

• Conduct Departmental Orientation Program for new employees to ensure they understand the policies and operations of the resort.

• Ensure that all staff provide a courteous and professional service at all times.

• Counsel staff members for any breaches of conduct and observe policies when issuing formal disciplinary notice

Operational

• Constantly review and appraise the procedures within the Front Office and Reservation departments to ensure quality of service and product at all times.

• Monitor and motivate the staff skills within the department and plan training programs to rectify any service deficiencies.

• Conduct regular briefings with the department staff ensuring good communications at all times.

• Ensure that overtime within the department is minimized and authorized.

• Ensure that all areas within the department are equipped with correct staffing levesl in accordance with expected business demand.

• In conjunction with Sales and Reservations Managers, effectively manage room inventory to maximize occupancy and average rate.

• Liaise with Reservations Department to advise all affiliated reservations offices of room availability for advance 12 months.

• Liaise with Transportation Officer (Bell Captain) to ensure good presentation of vehicles at all times and efficient management of vehicle fleet.

• Ensure reservation and in house folio details and guest history records are current and precise.

• Always be available to handle guest requests and play the role of the ‘host’ in the lobby.

• Monitor the staff skills within the department and plan training program to rectify any service deficiencies.

• Conduct regular briefings with the department staff ensuring good communications at all times.

• In conjunction with Reservations Team, effectively manage room inventory to maximize occupancy and average rate.

• Ensure all aspects of communications are operated to standard and recorded per policies.

• Handle daily correspondence by fax or e-mail and response them within 24 hours and ensure they get appropriate answers, in order the clients get accurate information or answer as soon as possible.

• Prepare other reports as requested by hotel managers by counting the total daily room night and put on the system in order to give an idea about the occupancy.

Yêu cầu công việc

• Hotel Management degree or an acceptable equivalent in "Hands on experience"

  • Self-motivated, proactive with a strong service excellence skills and good business acumen
  • Strong organizational and people management skills
  • Excellent communication skills
  • Oral and written literacy in English
  • Minimum 5 years Hands On experience in hotel front office operations in recognized hotels. Thorough knowledge of all areas of Hotel Front Office, Reservations and Transportation
  • Operational knowledge of Opera and Micros property management and point of sale systems
  • Preparation of Monthly Reports for management purposes, highlighting deficiencies and initiating corrective action
  • Ability to effectively supervise the Front Office Department
  • Working knowledge of Information Technology relevant to position including experience in using third party online reservation systems
  • Ability to work as an effective member of the management team
