Mô tả công việc

1. Calls Management

• Answering of all incoming calls, both local and overseas

• Screening and transferring of calls to end users as and when needed

• Handling of enquiries

• Connection of end user’s calls to local and overseas numbers as and when required

2. Visitors Management

• Ensure all visitors (internal/external) are registered at the Front Desk with proper information

• Contact and inform the host the arrival of their guests and requesting the host to receive them

• Usher all visitors to the appropriate meeting location or waiting area

• To handle and respond to emergency and panic situations calmly and professionally

• Maintain the visitors records

• Ensure that security clearance is checked where required

• Ensure that the identification badge and information on site safety and emergency procedure is issued to all visitors upon their arrival

3. Mails Management

• Pick up and distribute mails accordingly

• Prepare packages for courier pick-up daily

• Courier bookings as required

4. Meeting Rooms Management

• Book meeting rooms on behalf of users

• Ensure meeting rooms are clean and tidy at all times

• Meeting room set up, ensuring that water, glasses etc. are adequately provided

5. Housekeeping of visitors area

• Ensure the Front Desk / Visitor Areas are always clean and tidy; Reception image is kept up to standard and in line with client’s Standards and CBRE requirement

• Promptly and effectively notify housekeeping team to attend to any spillage and/or removal of traces of dirt

• Ensure meeting/conference rooms stationeries, tissues & hand sanitizers are available to use

• Monitor the visitor seating areas for unattended belongings and/or items

6. Others

• To assist in taxi booking if required

• To assist in coordination and distribution the ID management i.e. laptop distribution to new employee etc.

• Assist with administration and facilities duties, as and when directed by the Facilities Coordinator or Facilities Services Manager

• Communicate facilities related issues to the office users as via email as required

• Work with and support all members of the facilities management team

• Receive and manage service requests such as maintenance, catering, meeting room setup, ordering stationery etc.

• Book meeting rooms on behalf of users

• Ensure meeting rooms are clean and tidy at all times

• Meeting room set up, ensuring that water, glasses etc. are adequately provided

Yêu cầu công việc

  • Candidate must possess at least a College Degree, Bachelor's Degree, Human Resource Management, Business Studies/Administration/Management, Secretarial or equivalent.
  • Required language(s): English (Intermediate), Vietnamese.
  • At least 1-2 years experience is required for this position.
  • Good communication skills.
  • Elegant, enthusiastic and eager to learn.
