Giám sát viên Kế toán Thanh toán/ Accounts Payable Supervisor

• Each day, suppliers’ invoices will be received by the Accounts Payable Supervisor, the invoices must be compared to both the applicable Purchase Orders (or Job Order) and Order Receipts as to quantity, quality and prices including counter checking against accepted suppliers’ quotations. Any difference should be accounted for by the Purchasing Section and the Department Head concerned. As Order Receipts come in they should be checked off on the numerical Invoice Control sheet. In a case of partial delivery and billing a photocopy of the Purchase Order should be made on the original of the date and quantities received.
•  Checking all outgoing items i.e. returns to suppliers and ensuring that proper Credit Memos from suppliers are obtained.
•  Check against the deposit before preparing payment to ensure no double payment.
• Only after these checks have been completed and corrected will then the posting to the Accpac System be done.
• In cases where the invoice is for immediate payment, a Payment Instruction should be prepared immediately.

• Review Accounts Payable Overdue Payable Report for two Payment Instruction Runs of the month, prepares Cash reimbursements / Payment Instruction for suppliers and others, the ‘paid’ rubber stamp with dated of payment should be placed on all invoices and all supporting documents when payments are made.
• Forward the Payment Instruction, Payment Vouchers and all supporting documents to the Accounts Manager for checking and then to Financial Manager for approval.
• After Financial Controller approved, prepare the Payment Instruction listing with details of Date, PI No., and Amount then send to the General Director and the Director for signing on the authorized signatories.
•  Maintain files for paid and unpaid invoices, and file for deposit payment.
•  Supervise the maintaining in order all the Payment Instructions and related documents
