Mô tả công việc

Main Duties

Administration

 Ensures that an organized, up-to-date filing system is maintained for all personnel records.

 Ensures all employment practices are in keeping with local legislation.

 Ensures the timely and confidential management of employee data.

 Enters Personnel records into the system.

 Ensuring proper documentation for the process of employee work accidents claim.

 Liaises with the local Labour authority for all related matters as assigned by owner presentative

 Preparation of turnover and absenteeism reports in a timely manner.

 Maintains manual and electronic personnel files, ensuring that required record keeping is accurate.

 Prepares the Change of Status or Career Profiles for processing.

Customer Service

 Nurtures and develops employees whilst ensuring standards of operation and safety are maintained.

 Embraces the Training initiatives and philosophies of the company and works closely with the Training Officer and Operational Management to improve employee’s skills and knowledge.

Financial

 Focuses attention on improving productivity levels and the need to prudently manage utility/ payroll costs within acceptable guidelines ensuring optimum deployment and energy efficiency of all equipment.

 Ensures new technology & equipment are embraced, improving productivity whilst taking work out of the system.

 Ensures Attendance Record check is being carried out according to the Policy and Procedures.

Marketing

 Assists the Department Head with the compilation, implementation and upkeep of the following employee communications – Employee Handbook, Monthly HR Activity Schedule, Community activities , Employee Notice Boards, and Employee Restaurant s activities

Effectively communicates core values and behavioral standards to all levels of staff

Operational

 Assists in checking the food quality and cleanliness of the Employee Restaurant.

 Assists in organizing all Employee Activities.

 Assists by checking to ensure all employee facilities are maintained within standards, i.e. Employee locker rooms, Employee Restaurant and employees’ smoking area, employee kiosk, employee clinic, First Aid Box.

 Assists in the Remuneration Survey within labour market to determine and make recommendations relating to competitive compensation and benefits packaging.

 Manages the Human Resources computer systems to effectively manage payroll.

 Manages the management of the local employee insurance programmers.

 Assists in the recruitment process by handling of enquiries, registration, arranging interview and conduct the reference check at appropriate time.

 Maintains all applications, screens and interviews applicants suitable for positions.

 Ensures that all applications are reviewed and that acknowledgment / reject letters are sent out 2 weeks from date of receipt.

 Assists in the preparation of recruitment advertisements that reinforces the corporate identity and projects a professional image.

 Prepares the documentation process for visa / residence card / work permit applications for foreign national employees.

 Assists with the coordination of the employee recognition programs.

 Co-ordinates and arranges out going employees for Exit Interview.

 Co-ordinates and arranges Inquiry Meeting for Disciplinary Action Procedures.

Personnel

 Ensures close and professional relationships are established and maintained between management, employees, government officials and the local community.

 Maintains close relationship with academic institutions and hotel schools.

 Ensures consistent and fair Grievance handling and Misconduct management providing professional counselling and coaching to correct inappropriate behaviours.

 Through hands on management, closely supervises the Personnel Officer / Personnel Assistant in the performance of their duties and ensures this is in accordance with policies & procedures and applicable laws.

 Delegates as appropriate the duties and responsibilities necessary to trained employees who are well equipped and resourced to correctly accomplish these tasks.

 Ensures that employees have a complete understanding of the hotel Work Rules and Regulations, and that their behaviour complies. Corrects inappropriate behaviour in accordance with policy.

 Monitors employee morale and provides honest performance feedback and development opportunities.

Personnel (continued)

 Conducts Performance Review as assigned, providing honest and appropriate feedback.

Other Duties

 Maintains high personal standards of timekeeping, always present for duty as scheduled.

 Attends and participates in Briefings/Meetings as required.

 Is always willing to learn and willing to teach others.

 Is fully familiar with the hotel Work Rules and work regulations governing employees and their behaviour and ensures these are always accurately communicated and carefully followed.

 Ensures that colleagues / employees are always fairly treated without favour or unfair expectations.

 Takes an active involvement in the welfare, safety, development and well-being of employees.

 Provides guidance, advice, counselling and transparent diplomatic feedback as appropriate.

 Provides sufficient training, development and learning opportunities to ensure that employees are developed to their full potential, and are confident.

 Ensures that employees are fairly and professionally rostered and are allocated work assignments which are appropriate for their rank and capability to meet the demands expected.

 Ensures high standards of personal presentation and grooming, acting as a positive role model.

 Ensures that all guest and colleague interactions are positive and professional, showing humility and respect to guests, colleagues and all employees.

 Values and preserves very good working relationships.

 Prudently balances resources and standards of service to meet the financial goals of the hotel, Company Standards and guest expectations.

 Ensures that Company Strategies, initiatives, communications and Employee Information pieces are appropriately communicated to employees in a timely manner.

 Exercises responsible practices and personal behaviour at all times, positively representing the hotel Team and Company Standard .

 Responds to requests to undertake any reasonable tasks and secondary duties and adjust to changes as dictated by hotel, industry and company.
