Property Coordinator

• Coordinate with relevant departments (Engineering, Housekeeping, Front Office, Accounting, Security, Recreation, Lanscaping, etc.) to handle operational requests, maintenance, and service support for villas.

• Receive and process requests from villa owners/authorized representatives regarding:

o Staff access

o Items brought in/out

o Maintenance and repair

o Other service-related requests

• Maintain and update database of villa owners, authorized representatives, staff access lists, and supervising the villa entry procedure.

• Coordinate and monitor maintenance and repair works, including quotation, cost collection, execution scheduling, and completion documentation.

• Handle requests related to rental of equipment, key issuance/renewal, villa access, and safety box opening.

• Support relevant depts. to monitor villa operational conditions including:

o Electricity and water consumption

o Swimming pool contract (if any)

o Inside maintenance contract (if any)

o Physical defects affecting overall appearance

• Proactively identify defects and notify villa owners for necessary corrective actions.

• Communicate and implement regulations and requirements from Management to villa owners and relevant parties.

• Supervise the villa entry procedure; ensure compliance with required procedures and proper documentation filing.

• Handle bookings under Rental Pool program:

o Coordinate with Reservation to check availability and confirm bookings

o Coordinate operational departments for guest services

o Track room nights usage and reconcile data

• Monitor and follow up outstanding payments from villa owners; coordinate with Accounting and Front Office for payment settlement and invoicing.

• Prepare monthly revenue reports and reconcile service-related costs.

• Verify and track bills and documents submitted by departments.

• Develop and update operational forms and procedures to improve efficiency.

• Perform any other duties as assigned by the Assistant Property Manager.

• Experience in supervising operations teams or coordinating personnel across departments to ensure effective processes.

• Proficiency in office software: PowerPoint, Excel, Word, and project management tools.

• Understanding of AI applications in optimizing event operations, customer data analysis, and enhancing service experiences.

• Strong communication skills in Vietnamese and English.

• Excellent organizational and time management skills.

• Ability to compile data and utilize analytical tools for creating operational reports and proposing improvements based on real-time data.

• Capable of working independently and handling work pressure effectively.

• Knowledge of event and F&B operations, especially in conference center or hotel environments.
