• Type reports, letters, memorandums, forms and correspondence for the Food and Beverage department, maintains filing system.
• Sorts and records incoming departments mail; records and route all outgoing correspondence.
• Responsible for controls and requests of office supplies.
• To give full co-operation with the typing of menus for the Food & Beverage department.
• Inform the Executive Assistant Manager, F&B on al problems related to the Food and Beverage department and keeps a record of Food and Beverage employees including personal data, promotion or transfer papers.
• Ensures the cleanliness and orderliness of the Food and Beverage office at all times.
• Attends Food and Beverage meetings, keep attendance, types minutes and distribute to all concerned.
• Handles requests brought up by other departments concerning Food and Beverage.
• Preparation of Purchase requests and follow up with supplier for the date of arrival.
• Types monthly breakage report, revenue report and guest comments statistic report.
• To maintain professional confidentiality and never disclose company secrets.
• Channels all guests inquiries and correspondence for future bookings till materialized.
• Maintain the strictest confidentiality at all times on all matters
• Be responsible in keeping our property safe and secure, to participate in any hotel activity related to Fire Life safety.
• Perform any other duties which may be assigned by the management from time to time.
SECOND TASKS: (Chef Yoshida adds in)
• Interpretation during work-related conversations between INTERCONTINENTAL kitchen members and staff from other departments
• Preparation of contract documents with new vendors, discussion of delivery methods, and requests for code creation
• Translation and interpretation related to the new restaurant, including menus, purchased items, HACCP, procurement, etc.
• Interpretation for construction personnel
• Creation and interpretation of material transfer sheets from Robata (robata grill)
• Participation in and interpretation for meetings with construction contractors
• Interpretation of recipes for INTERCONTINENTAL kitchen members
• Interpretation during training for new team members (kitchen and service) at Soukai
• Interpretation for necessary public institutions
• Interpretation related to matters concerning Soukai

• Ability to type 45 WPM
• Good communications and writing skil s
• Tasks and Project Management
Qualifications –
• Diploma in Business or Secretarial Study
Experience –
• 1 years of secretarial experience, or an equivalent combination of education and experience
