Mô tả công việc

TASKS OVERVIEWING:

  • Being responsible for carrying clerical, phone and administrative responsibilities while simultaneously representing the Executive Office
  • Focusing on coordinating inter – departmental work projects and serving as a liaison between the General Manager and other staffs

TASKS CLARIFYING:

  • Checking – in in time with correct uniform, high standard manner and appearance before working
  • Implementing and adhering to Wyndham vision, core values and resort’s policies & procedures
  • Adhering to all Wyndham brand standards
  • Devising and maintaining office systems, including data management and filing
  • Arranging travel, visas and accommodation for the General Manager
  • Arranging travel, visas and accommodation for the expatriate managers/ staffs
  • Scheduling and updating passport, visa information or renewals, Work Permit renewals and other related legal documents for expatriate managers and staffs
  • Being responsible for overseeing corporate philanthropy and booking business travel for Executives Office, including making airline reservations, booking hotel rooms and arranging for transportation
  • Being responsible for effective and proper translation from local managers to expatriate managers; disseminating information for the effective translation and prompt circulation of documents to ensure stipulations are complied
  • Maintaining the General Manager’s schedule, booking meetings and appointments, screening calls and prioritizing daily tasks and responsibilities
  • Being responsible for distributing meeting agendas, scheduling meetings and recording and transcribing meeting minutes; handling the General Manager’s personal and business correspondence, including emails and memos – as deemed necessary
  • Handling and taking care of sustainability issues, charitable requests and corporate sponsorship queries; submitting a monthly report on sustainability to the General Manager
  • Attending and recording minutes of meetings, overseeing the accurate translations and distribution of the same among necessary people
  • Coordinating and maintaining healthy professional ties with the assistants of other General Managers within Wyndham properties; directly dealing with them for any information to be transmitted among the General Managers
  • Following up and ensuring proper coordination of project for the resort
  • Passing on any important communication and giving appropriate and relevant feedback on ‘ongoing projects’ to General Manager
  • Screening telephone calls, enquiries, requests and handling them appropriately
  • Liaising with other Department Heads and staffs
  • Preparing correspondence on behalf of the General Manager; accumulating and handing over all the purchasing orders to General Manager for signature
  • Maintaining and operating copy machines, printers, phone and other office equipment; keeping track of what is in stock and when to order supplies; maintaining paper and electronic filing systems so that the General Manager has easy access to important documents
  • Organizing and maintaining trace files of work that requires immediate supervision and action from General Manager; actively reminding General Manager of the activities and works to be done
  • Organizing an inter – department meeting on behalf of the General Manager; extracting documents from all the Department Heads and compiling it in a file
  • Being responsible for organizing the Department Head Duty Roster and sharing the file
  • Coordinating special reservation requests made through the Executives /Home Office
  • Participating training courses and meetings as demanded
  • Performing other tasks assigned by superior

  • Perform other tasks as assigned by the General Manager

Yêu cầu công việc

• Graduating from college and higher

• Having degrees and certificates related to the profession

• Having at least 02 years working experience as the same position in 4 – 5 stars hotel/ resort

• Being fluent in English; being able to using other language

• Being able to work independently under high pressure

• Being good at communicating

• Being agile, enthusiastic, careful

• Having good problems solving skills

• Arranging work and coordinating with colleagues well
