MAIN DUTIES:

Administration

• To assist & handle bookings of corporate accounts

• To assist Corporate Sales Managers on filing and internal authorisation forms (including FOC, entertainment, welcome cards

• To update corporate accounts information in the system, open A/R, do the corporate reports (update Master list, Advertising Agreement summary…),

• To assist Corporate Sales Managers in preparation of sales trips

• To check the emails during Sales Manager’s absence and handling responses or forwarding to “buddy” sales manager to respond.

• To coordinate with sales managers, reservations and operations regarding tour series/ group/ FAM booking/ leisure sale activities in the hotel by updating in the Opera,issue BEO or send email to related departments.

• Will be the main contact for clients and hotel operation after contract is signed. Pick up the phones when SM is not in the office.

• To assist in the maintaining the standard of work environment cleanliness in the office.

Financial and Revenue Responsibilities

• Not applicable.

Training and Human Resources

• To attend weekly and monthly meeting with the sales team

• To maintain a good working relations with all departments and all external contacts.

• To coordinate functions and activities with other departments professionally.

• Treat customers and colleagues from all cultural groups with respect and sensitivity

• Exercise maximum collaborations with colleagues and customers.

• Personnel management

• Attend related seminars and training whenever required on management skilss.

• Emphasizing on team work to colleagues.

• Ensure wherever possible that employees are provided with a work place free of discrimination, harassment and victimisation

• Treat complaints of harassment and discrimination promptly and confidentially.

• Identify and deal with issues which may cause cross cultural conflict or misunderstanding.

• Participate in scheduled training and development programs as required by your Department Manager to improve self and department standards and attend departmental meetings as required

Guest Service Responsibilities

• To ensure all complaints received are reviewed and investigated with Senior Sales Manager Corporate then discussed with Director of Sales and review follow-up action by sales persons.

• To assist in the meeting and greeting of VIP guests as required

• Meet the client to gain feedback and ensure that he/she had a good experience

• Take any client complaints/concerns into consideration and find compensation.

• Inform guest of any special future promotions and further promote the Sofitel network.

• Follow up the relationship with the customer and enquire about any future needs.

• Carefully respond to all requests for explanations or any complaints by the customer within 48 hours. If this is not possible, inform the customer precisely when he or she can expect a response and ensure delivery on this promise

• When required, pay visits to potential clients in view of entering into contracts with commercial accounts.

• Personlise the proposal and scrupulously follow customer specifications

• Be present in the lobby to greet clients and be ready to proceed with inspections a minimum of 10 minutes prior to agreed meeting time.

Responsibilities & Means

• To ensure the smooth running operations relating to Corporate Sales administrative & sales functions

• To cooperate with all departments for smooth running operation.

• To ensure that all client requests and servicing are attended to in a prompt and professional manner.

Technical Responsibilities

• Be able to organise and plan

• Have good knowledge of competitor set

• Be able to utilise selling skills (from 6 months of starting the role post probation)

• Be able to prospect and negotiate (from 6 months of starting the role post probation)

• To acquire extensive product knowledge of Sofitel Legend Metropole Hanoi, strengths, weaknesses, opportunities and threats as against key competitors.

• To visit VIP top accounts with Corporate Sales team and meet VIP guests to establish closer relationship with them

Commercial Responsibilities

• Be responsible to maintain account filing system for the Corporate team

• To prepare sales kits and collaterals to ensure information is always current and par stock maintained.

• To work with Corporate Sales team on sales promotional materials and forms in a timely manner.

• To coordinate 2014 contract agreement programme with Senior Sales Manager Corporate.

• To send out of promotions, surveys, hotel notifications on behalf of the Corporate team.

• To handle new accounts with a simple prospecting calls (from 6 months of starting role post probation).

• To attend extra-curricular activities and meetings, and accept any responsibilities of projects as directed by Senior Sales Manager, DOS, and DOSM.

• To be well informed about the operations especially in key departments: Front Office, Housekeeping, F&B and Banqueting

• Where appropriate to join and promote the hotel through entertaining, site inspections and presentations of the hotel

• Where appropriate to represent with Sales Managers in attendance on behalf of the hotel at association, chamber of commerce, social functions, and national tourism board events.

Replacement and temporary mission

• To perform other related (and non-related in order to assist other hotel departments and sister properties) duties and special projects as required by Director of Sales & Marketing

Miscellaneous

• All ambassadors are required to comply with every reasonable request from their hierarchical supervisor(s) within an amount of time that it takes to comply under normal circumstances.

• All ambassadors may be assigned to other duties in the hotel as and when required by business levels.

QUALIFICATIONS:

• Minimum 3 years experience in the same position

• Excellent communication and interpersonal skills

• Strong in Microsoft Office suite

• Fluent in English and Vietnamese (spoken& written)
