Mô tả công việc

1. Job Summary

The GM cum F&B Secretary provides comprehensive administrative and coordination support to the General Manager while assisting the Food & Beverage Division in daily operational administration.

This role ensures efficient communication flow between the Executive Office and F&B operations, supports documentation and reporting processes, and facilitates smooth coordination across departments to maintain service excellence aligned with luxury boutique hospitality standards and brand expectations.

2. Key Responsibilities

Executive Office Support (General Manager)

Provide full administrative support to the General Manager, including calendar management, meeting coordination, and preparation of reports and presentations.

Draft correspondence, internal communications, meeting minutes, and official documents as required.

Consolidate departmental reports and ensure timely submission for executive review.

Maintain confidential records, files, and documentation in an organized and professional manner.

Coordinate communication between the Executive Office and all hotel departments to ensure follow-up on operational priorities and action plans.

Support preparation of executive meetings, leadership briefings, and management updates.

F&B Administrative Support

Provide administrative coordination for the Food & Beverage Division, ensuring proper documentation and record management.

Prepare and maintain operational reports, menus, promotional materials, and departmental communications.

Assist in coordinating menu updates, seasonal promotions, and special events in collaboration with Chefs and Restaurant Managers.

Support scheduling of F&B meetings and ensure accurate meeting minutes and follow-up actions.

Maintain updated records of SOPs, operational guidelines, and brand standards related to F&B operations.

Operations Coordination

Act as a liaison between F&B, Executive Office, Purchasing, Finance, Engineering, and other operational departments.

Track action items from meetings and ensure timely follow-up with responsible teams.

Support coordination of hotel events, VIP functions, and F&B-related activities as assigned.

Assist in monitoring compliance with hygiene, food safety, and operational standards in coordination with relevant departments.

Yêu cầu công việc

Bachelor’s degree in Hospitality Management, Business Administration, or related field preferred.

Minimum 2–3 years of experience in an administrative, executive assistant, or F&B coordination role within hospitality.

Strong organizational and multitasking skills with high attention to detail.

Excellent written and verbal communication skills in English and Vietnamese.

Proficiency in Microsoft Office and hotel management systems is an advantage.

Ability to handle confidential information with professionalism and discretion.

Strong coordination skills and ability to work effectively in a fast-paced hotel environment.
