Position Summary
The Coordinator / Department Secretary provides administrative and coordination support to ensure the smooth daily operation of the department. This role is responsible for handling documentation, scheduling, communication, reporting, and follow-up tasks while maintaining professional confidentiality and organizational efficiency.
Key Responsibilities
- Administrative Support
- Provide full administrative and secretarial support to the department.
- Prepare letters, memos, reports, presentations, and other documents.
- Maintain proper filing systems for both physical and electronic records.
- Handle incoming and outgoing correspondence, emails, and phone calls.
- Manage office supplies and departmental stationery requests.
- Coordination & Communication
- Coordinate meetings, appointments, and departmental schedules.
- Prepare meeting agendas, take minutes, and follow up on action items.
- Liaise with other departments to ensure smooth communication and task completion.
- Assist in organizing departmental activities, trainings, and events.
- Reporting & Documentation
- Prepare monthly reports, attendance records, and departmental trackers.
- Ensure documents are updated, accurate, and submitted on time.
- Support budget tracking, purchase requests, and invoice processing when required.
- Maintain confidential employee and operational information.
Operational Support
- Assist the department head in daily operational coordination.
- Follow up on pending tasks and deadlines with team members.
- Support onboarding arrangements for new team members if applicable.
- Ensure compliance with company policies and procedures.

Yêu cầu công việc
- Diploma or Bachelor’s Degree in Business Administration, Hospitality, or related field.
- Minimum 1–2 years of experience in administrative, coordinator, or secretary roles is preferred.
- Good communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Good command of English communication and writing skills.
- Detail-oriented, responsible, and able to handle confidential information professionally.
