Key Responsibilities

Manage daily office administration and ensure the smooth operation of the Hanoi office.

Welcome visitors, business partners, and government authorities at the office.

Oversee office facilities, company assets, office supplies, and coordinate with external service providers.

Support legal and compliance activities, including business licenses, contracts, corporate documents, and liaison with government authorities.

Monitor the validity of company licenses, contracts, and legal documentation.

Prepare, review, organize, and maintain administrative documents, contracts, and company records.

Assist with accounting administration, including invoices, payment documents, expense tracking, and coordination with external accounting providers.

Provide executive support by coordinating meetings, travel arrangements, business trips, and internal events.

Prepare reports, meeting minutes, and other administrative documentation.

Coordinate with internal departments to ensure smooth office operations and effective communication.

Recommend process improvements to enhance operational efficiency and optimize office costs.

Perform other duties as assigned by the direct manager.

Yêu cầu công việc

Requirements

Bachelor's degree in Law, Business Administration, Office Administration, Accounting, or a related field.

At least 2 years of experience in Administration, Office Management, Legal, Compliance, Executive Assistant, or similar roles.

Good understanding of Vietnamese Corporate Law, Labor Law, basic Tax regulations, corporate administration, and government procedures.

Strong communication, organizational, and problem-solving skills.

Excellent document drafting and administrative coordination skills.

Proficient in Microsoft Office applications (Word, Excel, and PowerPoint).

Good command of English is an advantage.
