Cluster Event Sales Coordinator

• Understand and embody An Lam Retreats' vision, values, and brand standards in all daily activities.
• Deliver exceptional guest experiences while promoting sustainable development, Vietnamese cultural identity, wellness, genuine hospitality, and social responsibility.
• Ensure effective communication and collaboration across departments in line with An Lam standards.

2. Wellness

• Support and promote An Lam Retreats' wellness philosophy and programs, including Full Potential, Sleep & Resilience, Cleanse & Detox, and Trim & Fit.
• Assist in implementing wellness initiatives and ensure alignment with the resort's wellness standards.

3. Sustainability

• Comply with An Lam Retreats' Sustainability Guidelines by supporting environmentally responsible practices, reducing waste, eliminating single-use plastics, and promoting social responsibility within the Sales & Marketing Department.

4. Operational Responsibilities

Event Sales Administration

• Prepare banquet proposals, quotations, contracts, confirmations, and Banquet Event Orders (BEOs).
• Maintain accurate records of event contracts, packages, rates, and sales documentation.
• Track event leads, deposits, contracts, and follow-up actions through the sales system.

Sales Coordination

• Handle event-related phone calls and email inquiries professionally and promptly.
• Qualify incoming leads and coordinate with the appropriate sales team member.
• Assist with site inspections, client visits, and event presentations.
• Process FOC vouchers and maintain monthly tracking reports.
• Coordinate the distribution of BEOs, floor plans, and event updates to all relevant departments.

Reporting & Administration

• Prepare daily, weekly, and monthly sales and event reports.
• Maintain promotional materials, sales kits, and departmental supplies.
• Perform other duties assigned by the Event Sales Manager.

5. Quality Assurance

• Ensure compliance with An Lam Sales & Marketing standards, policies, and LQA quality requirements.
• Maintain ethical and professional conduct in all business activities.
• Support quality assurance initiatives and participate in service and operational training programs.

• Diploma of college or university completion and achievements of sales, marketing or F&B management.
• 1 year of experience or more in similar role is an advantage
• Cross-cultural work exposure in a team setting.
• Ability to handle multiple duties under pressure with minimal supervision.
• Good organization, project management and both short and long- term planning skills.
• Strong communication and selling skills
• Excellent interpersonal and coaching skills and can demonstrate ability to lead and develop other stars.
• Very good command over written and spoken English.
• Knowledge of new product/service offerings and emerging technology supporting meetings and events.
