Store supervisor

The Store Supervisor is responsible for the effective operation and control of the hotel’s receiving, storage, and issuing activities. The position ensures that all goods are properly received, stored, recorded, and issued in accordance with hotel standards, inventory procedures, and internal controls.

KEY RESPONSIBILITIES

Supervise daily receiving, storage, and issuing of food, beverage, operating supplies, and other hotel goods.

Ensure all received goods are checked against purchase orders, invoices, specifications, quantity, and quality requirements.

Maintain proper storage conditions, stock rotation, labeling, and organization of all storerooms.

Monitor stock levels and ensure sufficient supplies are available for hotel operations.

Control the issuance of goods to departments based on approved requisitions.

Maintain accurate inventory records and ensure all stock movements are properly documented.

Conduct regular stock counts and participate in monthly and annual physical inventories.

Investigate and report stock discrepancies, damages, shortages, or expired items.

Ensure proper FIFO/FEFO practices are followed, particularly for food and beverage products.

Coordinate with Purchasing, Finance, and operating departments regarding deliveries, stock levels, and inventory issues.

Ensure storerooms are clean, secure, and maintained in accordance with health, safety, and hotel standards.

Monitor the performance of Storekeepers and provide guidance and training as required.

Support inventory control, month-end closing, and internal/external audits.

Ensure compliance with hotel policies, IHG standards, and established purchasing and inventory procedures.

Perform other duties assigned by the Purchasing Manager or management.

• Diploma or Bachelor’s degree in Supply Chain, Purchasing, Finance, Hospitality, or a related field.

• Minimum 2–3 years of relevant experience in hotel stores, inventory, receiving, or purchasing.

• Previous supervisory experience is preferred.

• Good knowledge of inventory control, receiving, storage, and stock management procedures.

• Good organizational and numerical skills with strong attention to detail.

• Proficient in Microsoft Office; experience with hotel inventory/procurement systems is an advantage.

• Good command of English and Vietnamese.

• Strong integrity, accountability, and ability to work effectively with different departments.
