Mô tả công việc

Position Function : To undertake all administrative functions in Golf Operations and assist the Assistant to Director of Golf and Director of Golf in all work assigned including Golf Operations admin job, tournament event organization and Golf Shop inventory. The Administrative Assistant reports directly to Director of Golf.

Major Duties:

1.      Takes minutes of meetings, reports, memos, procedures, purchase request and translation. Ensures that all documents are grammatically, typographical and numerically accurate
2.      Keeps up to date Golf Operations administration files and records and maintains an effective filing system
3.      Ensures that all necessary office supplies are at the right stock level
4.      Updates personnel information and administrative procedures as requested.
5.      Administers staff attendance and overtime record.
6.      Is familiar with all Executive Admin Policies and Procedures, Job Description and Employee Handbook.
7.      Keeps confidential records of relevant documentations at Golf Operations office.
8.      Must have full knowledge of printing reports, keying in all matters concerning Admin work in to the computer. Proficiency in microsolf office is required
9.      Is able to communicate very well with all levels of staff and most important to guests. Ensures that all messages are relayed correctly and promptly.
10. Must have knowledge of the facilities and activities of the Hospitality Industry and Golf operations.
11. Completes daily checklist for Golf operations and Front desk (including Golf shops at Clubhouse and Driving Range)
12. Assists the Assistant to Director of Golf in preparing monthly reports and other analysis.
13. Assists the Assistant to Director of Golf in weekly Golf shop inventory.
14. Assists the Assistant to Director of Golf in preparing training materials and handouts.
15. Assist the Director of Golf in communication with all level of staff as required.
16. Supports the Assistant to Director of Golf for handicap management, tournament administration and scoring.
17. Assist front desk in check in/ check out, guest relation and upselling golf shop.
18. Performs related duties as assigned or as necessary.

- Being initiative, detailed & independent, having passion in admin job, enjoying working with people.
- Considerable knowledge of secretarial & admin job and excellent computer skill.
- Bachelor Degree in Economics, English, related field; admin experience in hospitality industry as priority.
- Excellent interpersonal and communication skills.
