The receptionist supervisor is responsible for the overall supervision of a front office shift and must maintain a consistently high standard of customer service throughout the shift.

• Present a smiling and welcoming personality to the guests at all times. • Ensure all duty shift procedures are being carried out and recorded on shift check lists. • Ensure staff is punctual, neat in appearance, and that the reception desk is covered by at least one person at all times. • Ensure all Receptionists are being briefed before the start of their shift on special or VIP arrivals and that they know the room situation of the day. • Monitor and correct performance of customer service agents to ensure our guests receive a fast, efficient and friendly welcome and farewell. • Plan and supervise the duty shift, adhere to pre set availability and rate controls. • Prepare special room reservations, i.e. groups, VIP’s. • Handle all cash and payment transactions with utmost accuracy. • Ensure that all transactions are processed in the hotel system. • Ensure a high level of liaison is maintained between Front Office and all other departments within the hotel. • Ensure a high level of guest service is consistently maintained and all guest queries or requests are handled in a polite, efficient manner. • Ensure a high level of product knowledge of the hotel and the local area. • Maximization of room sales and revenue for the hotel by ensuring a sales attitude is adopted at all times, and an awareness of all sales opportunities within the hotel is maintained whereas costs are kept to a minimum. • Adhere to company credit policies to ensure all revenue expected will be received. • Ensure all refused business is recorded with reason of its refusal. • Ensure the front office manager is kept fully aware of any relevant feedback from our customers or other departments. • Maintain and update the guest history and marketing database as per front office procedures. • Ensure health and security is maintained to guests and staff at all times. • Perform any assignment as delegated by the superior.
