Sales Coordinator - Based in Bà Rịa Vũng Tàu

1 Sorts and furnish incoming mails and documents for the Director of Sales & Marketing and attaches appropriate file to facilitate necessary action, determines routing, signature required and maintains follow up.

2 Receives incoming calls for the DOSM and takes messages as appropriate.

3 Maintains filing or records management system and other office flow procedures.

4 Acts as administration consultant to staff on certain issues.

5 Arranges business itineraries and co-ordinates Director of Sales & Marketing’s travel requirements.

6 Handles and directs all inquires to the appropriate person.

7 Takes minutes of major meetings as maybe required by the Director of Sales.

8 Assists DOSM for all reports daily, weekly, monthly

9 Assists Expenses of Sales & Marketing related to the job function

10 Keeps the agenda, receive guests and answers the telephone.

11 Screening telephone calls, enquiries and requests and handling them when appropriate. To follow up any urgent inquiry by telephone and coordinate promptly with the sales person in charge.

12 Prepares documents on behalf of sales team according to company standard with accurate information.

13 Prepares duty roster for department to submit Human Resources Department. Responsible for the attendance and payroll under the General Office.

14 Accomplishes a set of administrative duties such as attending meeting where required, writing weekly meeting minutes, maintaining a logbook and other specific duties related to the job function.

15 Coordinates with colleagues and representatives of other departments to ensure an efficient flow of communication, to and from the Department of assignment.

16 Interacts with other departments to provide additional or specialized guest services.

17 Attends scheduled trainings.

18 Participates actively in company initiated employee activities.

19 Maintains good rapport with hotel staff.

20 Performs other duties assigned by DOSM.

LANGUAGES: Vietnamese - Excellent level, written & spoken English - Basic level, written & spoken

WORK EXPERIENCE IN OTHER COMPANIES (IN CASE OF EXTERNAL SELECTION): At least 01 year in the hospitality at the same position.
