Mô tả công việc

- Sorts and furnish incoming mails and documents for the Director of Sales & Marketing and attaches appropriate file to facilitate necessary action, determines routing, signature required and maintains follow up.

- Receives incoming calls for the DOSM and takes messages as appropriate.

- Maintains filing or records management system and other office flow procedures.

- Acts as administration consultant to staff on certain issues.

- Arranges business itineraries and co-ordinates Director of Sales & Marketing’s travel requirements.

- Handles and directs all inquires to the appropriate person.

- Takes minutes of major meetings as maybe required by the Director of Sales.

- Assists DOSM for all reports daily, weekly, monthly

- Assists Expenses of Sales & Marketing related to the job function

- Keeps the agenda, receive guests and answers the telephone.

- Screening telephone calls, enquiries and requests and handling them when appropriate. To follow up any urgent inquiry by telephone and coordinate promptly with the sales person in charge.

- Prepares documents on behalf of sales team according to company standard with accurate information.

- Prepares duty roster for department to submit Human Resources Department. Responsible for the attendance and payroll under the General Office.

- Accomplishes a set of administrative duties such as attending meeting where required, writing weekly meeting minutes, maintaining a logbook and other specific duties related to the job function.

- Coordinates with colleagues and representatives of other departments to ensure an efficient flow of communication, to and from the Department of assignment.

- Interacts with other departments to provide additional or specialized guest services.

- Attends scheduled trainings.

- Participates actively in company initiated employee activities.

- Maintains good rapport with hotel staff.

- Performs other duties assigned by DOSM.

Yêu cầu công việc

- Candidate must possess at least a College/Bachelor's Degree in Sales/Marketing/Advertising/Media, Business Studies/Administration Management, Hospitality Management.

- Required skills: office skill (MS Word, Excel and Power Point…) sales skill, organizational skill, communication skill, multi-tasking, details oriented.

- Fluent in English.

- At least 1-year experience as an administrator.
