Reservation Supervisor / Giám Sát Đặt Phòng

Reservations Supervisor should understand the procedure of reservation service properly, to provide efficient accurate guest information and understand the procedure of handling phone call

Checks reservations to ensure they are processed according to hotel standards and confirms all reservations are complete.

Answers guest questions about hotel services and amenities.

Room arrangements for group guests according to guest requests.

Verify that booking confirmations are sent to guests.

Prepare and update reservations. Daily file of reservations carefully attaching amendment to reservations already exiting to original files.

Reading information contained in emails, paying attention to information pertaining to guaranteed reservations and VIPs.

Define the working process, prepare a working plan with booking agents.

Track all booking and cancellation information collected from online channels such as: hotel website, OTA, third parties...

Ensure deposit payment when guests book: direct booking, OTA (Booking.com, Agoda, Expedia,...)

Respond to official information for booking agents or issues related to customer satisfaction.

Make plan to reserve rooms in advance to arrange rooms for group guests.

Follow up on large groups, survey groups with special requests

Be familiar with all other Azerai Hotels and handle inter hotel reservations.

To update guest amenities before arrival date and inform to all departments as to guest requests.

Update guest list and prepare update name directories on computer

Keep records of room status, rates, modifications, etc.

Keep in files and manage customer records systematically, ensuring accuracy

Be aware of hotel facilities and outlets operation times.

To always work closely with other reservations manager, sales manager, Front Office staff and housekeeping staff relating to guest service matters

To assume other duties as assigned by Front Office Manager

• Fluency in English with excellent interpersonal communication skills

• A Degree/ Diploma in Business Administration, Tourism/Hospitality Management or equivalent;

• Organizational and communication skills

• 25-35 Years of Age

• Good communication, persuasion, sales consulting, reporting, negotiation, and situation-handling skills;

• Enthusiastic, dynamic, persistent, honest in work
