Personal Assistant to GM

Mô tả công việc

  • Effectively manage day-to-day administrative needs; to record and communicate minutes of all meetings involving the GM, to draft correspondence and memos.
  • To arranges appointments for GM, and if necessary to remind of appointments and meetings.
  • Is available for employees to assist in communication between GM and employees.
  • Is accessible and available for staff and translates if necessary.
  • Spends adequate amount of time (70% office, 30% floor) on the floor with the operation whenever possible and minding office work (flexible), assisting the team from time to time and also engaging with guests to learn of their experience. The PA is the key bridge between the Executive Office, the Heartists and the guests.
  • Schedules monthly MOD roster for HOD’s and gets approval from GM. May be assigned to cover MOD on request from time to time.
  • Takes responsibility for special projects whenever assigned.
  • Coordinates with Head of Departments to ensure a timely completion of projects whenever assigned.
  • Working closely with owner’s representative and Accor offices alike, maintains proper communications including follow up to facilitate relationship between the two.
  • Oversee LQA brand standard portal and assign audits.
  • Manage VOG portal and communicate daily during morning brief on all new comments.
  • Ensures prompt action is taken in case of guest complaints and that service recovery is initiated without delay. In case of known guest dissatisfaction ensures service recovery is initiated immediately and every effort is made to prevent further deterioration of the situation or complaint/negative feedback after departure.
  • Ensures cases of dissatisfied guests are made known throughout the hotel as fast as possible to ensure special care is taken in all areas to contain the situation.
  • Ensures guest feedback is logged against PMS guest profile for future reference.
  • Manages the GM’s calendar and AL recordkeeping.
  • Communicates with the owner office team (Dan Chu) on behalf of the GM and coordinates communication between both parties.
  • Attends weekly meetings with GM and owner and/or whenever meetings take place

Yêu cầu công việc

  • 1-2 years of related professional experience in 4-5 star hotel environment, preferable in the same position
  • A Bachelor degree in Hospital Management, Business Administration or related field
  • Strong written and verbal communication skills in English
  • High level of discretion, integrity and professionalism
  • Excellent organizational and time-management skills.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) knowledge of PMS or hotel software is an adventage
