- Ensures that all guests are attended to at the Front Desk. - Pays special attention to important guests and makes sure that they are satisfied with all aspects of stay in the Serviced Apartment. - Answers inquiries pertaining to services, registration of guests, and shopping, dining, entertainment, and travel directions. - Monitors record of room availability and guests' accounts using HIS, Protel, RMS systems. - Deals with complaints from customers and ensures that customers are appeased. - Ensures that cash advance or cash received upon check out are handled properly by Guest Service Officers. - Performs simple bookkeeping activities, such as balancing cash accounts when needed - Reviews activities in the Operations Department and devise strategies to make improvements within the department to enhance efficiency. - Ensures Front Office is stocked with stationery for operational purposes (letterhead, collateral) - Ensures all required policies are adhered to by Front Office staff. - Ensures all guest registration and guest checkout documents are complete and accurate. - Ensures all guest refunds through credit cards are submitted to Finance on a timely basis. - Set up standard operation procedures for Front Office Department - Check tasks are accomplished by Front Office staff - Performs any other duties as required by the Residence Manager/ Assistant Residence Manager - Responsible for Front Office (front office, club house, drivers) operations - Ensure the prober work of the overall Front Office operations - Cultivating the relationship with residents and other colleagues. - Following up monthly rental, Incidental for long-stay residents, make sure no bad debt above 60 days. - Assist residents to make certificate, follow up visa expiring. - Attend daily HOD meeting. - Organize and divide main duty for each member. - Training new staffs, arranging duty roster. - Conduct staff performance appraisal - Monthly Credit and P&L report of Front Office department - Planning budget of Front Office department (includes residents’ events, vehicles, gym and pool items…) - Control the expense of department and maintain them as low as possible. - Take care of resident’s stay and their needs to bring the second home feeling for them in Viet Nam. - Planning and organizing monthly resident’s activities, build a community for all residents in the property through many activities such as monthly residents’ day, movie night, outing trip, HCMC orientation tour, Mid-autumn festival, Halloween, annual residents’ year-end party… - Training Ascott South cluster all staff: Service Recovery - Master in Property management system (PMS) and Reservation management system (RMS)
